How to become a member of RCOY

Introduction
Rotary membership is by invitation only. Rotary Club of York (RCOY) welcomes new members at any time. RCOY admits prospective members of great integrity, of solid reputation in the community and with genuine reasons and purposes of becoming a Rotarian—to serve the communities with the Rotarian spirit of "Service Above Self". Good chemistry mix with the club members is a major consideration. RCOY believes tight on membership election enhance the comfort level and closeness of the existing members. Each member is expected to be conscientious in inviting his/her friends to the club.

The election process will adhere closely to the following procedure.


Step 1 - Proposal

1.1 Visits to the Club

Prospectives should be invited as guests to visit the club for at least 3 or preferably more occasions, i.e. regular meetings, functions and events, in order for them to have an initial understanding and impression of the club; and for the members to better acquainted with them.

1.2 Proposal Submission

Membership is by invitation extended to prospectives by existing active members. After positive feedback is experienced from both prospectives and the club members, the proposer(s) i.e. active members, should fill out the proposal form stating his/her recommendation and supporting reasons and submit names of the prospectives to the club secretary to be presented to the Board of Directors for consideration. Please obtain the proposal form from club secretary for that purpose.

Step 2 - Membership requirements check

2.1 Requirements Check

Upon receipt of the proposal the Board will ensure the prospectives meet all the membership requirements.

2.2 Visits to the Prospective

The Board may appoint two (2) members of the Board to visit the prospectives to further understand their reasons why they are interested in Rotary, their aspiration, contribution to and expectations from RCOY.

Step 3 - Decision

3.1 Approval / Disapproval

Within 30 days of having received the proposal, the Board will make its approval decision which will be conveyed to the proposer(s) by the club secretary.

Step 4 - Prospective member to sign application form

4.1 Application form completion

Once the Board's decision is favourable, the prospective member will be required to complete and sign the membership application form to permit his or her name and information to be published to the Club. Please obtain the membership application form from the club secretary.

Step 5 - Introductory meeting

5.1 Official Announcement and Introduction

The prospective member(s) will be invited to attend at least one (1) regular meeting where an official announcement of the application(s) will be made known to the club.

Step 6 - Vote

6.1 Feedback from the Club

Within 14 days after the prospective membership announcement, the club members have the right to submit objection to the application(s) with reasons in writing to the club secretary who will notify the Board immediately.

6.2 Voting

If objection has been filed with the Board, a voting will take place among the directors after detailed discussion of the objection and consequences in the following monthly Board meeting.

6.3 Admission

14 days after the official membership application announcement, if no written objection has been received by the Board from any active member of the Club, the Board will proceed to motion and approve the applicant(s) officially in their board meeting. The applicant(s) will then be admitted to membership upon payment of the admission fee and membership dues.

If an applicant has been declined, both the proposer and applicant will be informed in writing.

Step 7 - Induction

New Membership Induction

Following the membership approval, the proposer(s) and new member(s) will be informed by the club secretary, and the President will arrange for the induction of the new member(s).
